Subject: Announcement - IEEE P802.3cw / dj Task Force Meeting - IEEE 802 Mar 2024 Plenary - Registration Fee Required

Please note we are a contribution driven organization.   It should not be assumed by anyone that work will get done without contributions to drive it.  Areas not moving forward will be brought to the attention of the respective Task Force for consideration on how to address.

Dear IEEE P802.3cw and IEEE P802.3dj Task Force Participants,

The IEEE P802.3cw and P802.3dj Task Forces will meet jointly at the IEEE 802 Mar 2024 Plenary, the week of 10-15 Mar 2024 in Denver, Co, USA

At the Plenary, meetings are being planned around an in-person schedule, with remote access (provided on best effort basis for formal, scheduled WG / TF meetings, i.e., not for informal ad hocs). Details regarding the meeting and registration may be found at http://802world.org/plenary/.

Please note that registration is required for all individuals who participate (in-person or virtual participation).

In addition, you should make your hotel arrangements as soon as possible.

The Joint Task Force meetings will be held on Mon 11 Mar – Thurs 14 Mar.  Please note that the following meeting times per day are all based on MST.  Monday meeting time is anticipated to be 1pm to 6pm, Tues & Wed meeting times are anticipated to be 8am to 6pm, and Thursday meeting time is anticipated to be 8am to 12pm.  Please note that all efforts will be made so that the agenda is organized to allow optics experts in our group the opportunity to attend the IEEE P802.3dk Task Force meeting.

The following is the call for presentations for the the IEEE P802.3dj Task Force.

The draft agenda for the Joint Task Force Meeting will be as follows:

·       IEEE P802.3cw – Request to withdrawal IEEE P802.3cw PAR.

·       IEEE P802.3dj – continuation of baseline selection related to project objectives - https://www.ieee802.org/3/dj/projdoc/objectives_P802d3dj_240125.pdf.

·       Liaisons.

Anyone wishing to present, please provide the following information:

•    Name / Affiliation of author(s)

•    Title of Presentation (Please note that it is requested that titles do not change once submitted)

•    Brief description of topic

•    Length of time requested for presentation (Chair will budget time for Q@A)

Please note the following –

•       Priority will be given to consensus presentations, as noted by multiple authors or supporters from different affiliations.

•       Priority will be given to contributions closing gaps or addressing baselines needed for D1.0.

o       Contributions with changes or improvements to previously adopted baselines will be heard after completion of presentations addressing closing gaps or baselines for D1.0, pending time availability.

Please review Procedure for Presenters web page: https://www.ieee802.org/3/dj/public/presentproc.html

Presentations should be kept to 20 minutes in duration, excluding time for questions and answers.  Requests for presentation time greater than 20 minutes will be considered on a case-by-case basis, and the requestor should contact the chair prior to making the request to justify the additional time.  Please note that with the anticipated number of presentations, it is very unlikely that these requests will be honored.  Furthermore, I encourage individuals to use the Task Force reflector to reach out to others in the spirit of consensus building.  As chair, I reserve the right to introduce individuals making similar topic requests in the continuing spirit of this encouragement.

Please get your requests in as soon as possible.  Requests for presentation time must be made two Thursdays preceding the meeting.

For the Mar Plenary meeting, requests for presentation time shall be made to me at jdambrosia@xxxxxxxx and cc Kent Lusted at kent.c.lusted@xxxxxxxxx and must be made by 29 Feb 2024.  The presenter shall e-mail a PDF, soft-copy version of the presentation to me at jdambrosia@xxxxxxxx  and cc Kent Lusted at kent.c.lusted@xxxxxxxxx by Monday, 04 Mar 2024.

As a reminder, please make sure that all requests for presentations or submissions of presentation material have no restrictive notices at the bottom of the email.  All such emails will be refused, and requests / presentations will not be acknowledged.  All individuals submitting presentations should review the Procedures for Presenters Page for the respective projects noted above.

I would greatly appreciate presenters reviewing their own presentations to verify that they have followed the cited Presentation Style Guidelines.

To support the web site search tool used by the IEEE P802.3 web site the 'Document Information' fields of the PDF file must be completed as follows:

•       Title: Title of presentation

•       Author: Name(s) of author(s) & affiliation(s)

•       Subject: IEEE P802.3dj Task Force

Presentations that do not have the fields properly filled out will not be accepted.

Regarding Relative Cost Analysis

Presentations addressing relative cost analysis may require IEEE Risk management review if individuals do not follow guidelines provided in IEEE SA Anti-trust policy available at http://standards.ieee.org/wp-content/uploads/2022/02/antitrust.pdf.  Further information about IEEE 802.3 cost discussion can be found in “Presentation on Cost Discussions to IEEE 802.3 Working Group” (See https://www.ieee802.org/3/100GNGOPTX/public/may12/lindsay_01_0512_optx.pdf).

Please note that such IEEE Risk management review can take up to ~30 days. Individuals not budgeting sufficient time for review may have presentations scheduled for later meetings to allow these reviews.

I look forward to seeing everyone in Denver.  Safe travels to those attending in-person!

Best Regards,

John D’Ambrosia
