Dear Colleagues,
This is the announcement that the IEEE 802.3 Working Group will hold an interim meeting from 19h00 to 21h00 CDT on Thursday, 15 May 2025, at the New Orleans Marriott, New Orleans, LA, USA, during the IEEE 802.3 May 2025 interim meeting series. As with
all meetings held during the IEEE 802.3 May 2025 interim meeting series, the IEEE 802.3 Working Group interim meeting will be held in person, with provision for remote attendance provided on a best-effort basis. Registration is
REQUIRED BY
ANYONE THAT ATTENDS ANY MEETING during the IEEE 802.3 May 2025 interim meeting series, including this IEEE 802.3 Working Group interim meeting. Registration information can be found at <
https://www.eventbrite.com/e/ieee-8023-may-2025-interim-session-registration-1143149042559?aff=oddtdtcreator>.
Please note that the discounted early registration fee deadline is Saturday, 12 April 2025.
Subclause 4.1 'Attendance at Meetings' of the IEEE 802 LMSC Working Group Policies and Procedures says that 'A participant shall attend at least 75% of a meeting slot's duration ...' and satisfy any registration requirements to gain 'Credited Attendance'
at that meeting slot. It then goes on to say, ' A participant that has Credited Attendance in at least 75% of the meeting slots in a Session has Session Attendance Credit for that Session.'. A participant requires Session Attendance Credit at two of the last
four plenary sessions, with the ability to substitute one credited interim session for one plenary session, to gain or retain IEEE 802.3 voting membership. Subclause 4.2 'Voting Membership' says, 'A credited Interim Session (an Interim Session with attendance
credit) is one that has been declared by the Working Group Chair.'.
The May 2025 IEEE 802.3 interim meeting series is a credited Interim Session. IMAT will be configured with four meeting slots, two in the morning and two in the afternoon, for Monday through Thursday of the Session. The IEEE 802.3 Interim meeting on Thursday
evening will be configured in IMAT as a meeting slot with extra credit, and Friday morning will be configured in IMAT as two meeting slots with extra credit. This means they will provide additional opportunities for participants to gain Credited Attendance
in a meeting slot without increasing the overall number of meeting slots in the session. All other meetings will be configured with zero credit. The configuration of an example day can be found at <
https://ieee802.org/3/rules/interim_meeting_example_day.jpg>.
This will result in a total of sixteen meeting slots during the interim meeting series, and a participant will have to gain Credited Attendance at a minimum of twelve meeting slots (75% of sixteen) to obtain Session Attendance Credit towards gaining or
retaining IEEE 802.3 voting membership. At a high level, this will require attendance at a minimum of three days out of the four-and-a-half-day Interim Session. The requirement to gain Credited Attendance at a minimum of 75% of the meeting slots of the Interim
Session can, however, be achieved in any way a participant chooses. This, for example, could be achieved by Credited Attendance at the two slots on Monday afternoon, all four meeting slots on Tuesday and Wednesday, and then the two slots on Friday morning.
Any request to retrospectively add attendance in IMAT shall be made to the IEEE 802.3 Recording Secretary within four hours of the end of the respective IMAT meeting slot and accompanied by confirmation of attendance from the respective meeting Chair or
other officer. If you attend a meeting but do not sign in to an IMAT meeting slot for some reason (e.g., you do not attend at least 75% of a meeting slot's duration), it is your responsibility to ensure your attendance is recorded in the respective meeting
minutes. If you attended using a teleconference tool or signed an attendance sheet circulated in the meeting, your attendance will be recorded by following any instructions provided. You must always review the minutes of any meeting you attend to ensure your
attendance is recorded correctly.
I look forward to seeing you in New Orleans.
Best regards,
David Law
Chair, IEEE 802.3 Working Group
