Folks-

The WG Meeting Announcement/Agenda is supposed to be sent out 30 days in advance.
If that notice is going to take advantage of the released time then the GO/NoGo date has to be set enough sooner.
that the WG chairs can incorporate the use of Monday evening in their announcements.

I suggest 32 or 35 days.

  • Proposal: Add to Chair’s Guidelines
  • Modify 2.4 [“Tutorials”], Section #3, Item d
    • The Executive Secretary schedules the Tutorials and announces the schedule to the Standards Committee reflector at least 30 days before the meeting.  Any time not announced as being used for tutorials 30 days prior to a plenary session is automatically released to Working Group s for their use.

 

Please confirm.

I am ok to check that the tutorial form is updated.

I do not have an issue with the 30 days, but we ought to know the source of the 14 days...is it old and no longer relevant, or is it something you and I are not remembering?

There is nothing in the Chair’s Guidelines about 14 days, and from above it looks like the 15 days is to get it posted on the website with the abstracts, which is not a requirement at the 30 day mark.  It looks to me like the Tutorial Form needs updated to reflect what is in the Chair’s Guidelines.

 

From a logistics perspective – I would think releasing 30 days in advance would be better for handling any additional requests by WGs for rooms.

We discussed the proposed change to the Chair's Guidelines about releasing times to the WG for Tutorials that are not scheduled.

Note that from our Tutorial Schedule:

The Final Tutorial Schedule will be posted at http://802world.org/plenary and http://ieee802org no less than 14 days in advance of the Plenary Session.

So times to be "automatically" released to the WG should not occur prior to 14 days...unless there is no Tutorial then that would be known 30 advance.

 

Please consider adjustment to the statement.

Background:

Per IEEE 802 LMSC Operations Manual

5.1.1 IEEE 802 LMSC plenary

The IEEE 802 LMSC plenary session consists of optional IEEE 802 LMSC plenary meetings, Sponsor meetings, and WG meetings. The plenary session may also offer tutorial programs. If tutorials are offered on Monday, other meetings of IEEE 802 LMSC subgroups shall not be scheduled to overlap with the time of the tutorial programs.

 

Previously, the EC had voted to release Monday evenings with no tutorial sessions back to the WGs for their schedule / use.  (See Consent Agenda Item 4.04, June 5, 2018, https://mentor.ieee.org/802-ec/dcn/18/ec-18-0101-00-00EC-ec-teleconference-minutes-june-5-2018.pdf).  It is unclear whether this is necessary, however, based on the excerpt above. 

 

Suggest a chair’s interpretation be added to the Chair’s Guideline that essentially automatically releases any time not used for tutorials back to the WG’s for their use, based on announced tutorials 30 days prior to the plenary, which is the noted in the Chair’s Guidelines in 2.4 Tutorials
