Re: [802SEC] Fwd: RAC Action Item 080720RAC03

All

Hmm, I got really confused and thought it was our ops manual. Please ignore all of my previous comments.

I am blaming it on COVID-19, since everything seems to get blamed on that these days.

My intent was to extract from "the system" (via Angela) a pointer to the version that is "definitive."

Angela chose to fulfill my request by asking Dave Ringle for an answer. That seemed quite reasonable to me given Dave is the inside staff man, administrator, creator and maintainer of the records for ProCom, SASB, and BOG. His memory is also one of the most appropriate to know the answer to what is a pretty routine question/issue of ongoing operation.

Dr. Gilb took issue with that.

As a matter of orderly procedure, the version that is voted for approval "should" be consistent but in any case should be recorded in the minutes of the approval . Any difference between the approval version should be considered to be an errata and should promptly reconciled by staff.

It helps if the approval version is publicly viewable and that everybody's expectation of the definitive version is centered on the same item. Back in olden times, this was the printed version. Since that time, I believe PDF (with embedded fonts) is appropriate, but that's just me.

As Bob said:
I assume Geoff’s intent was to highlight (absent a clear indication on the SA web site) which of the two versions available should have precedence if they differ.

Exactly, as I lay out in far too much detail above.

James, Geoff,

I think you both are putting too much weight on “definitive”.

I noticed a minor difference between the pdf and web versions of the SA Ops Manual. Mr. Ringle is the administrator of ProCom, SASB, and BOG (BOG administrator being most important for the SA Operations Manual). So, I sent a note to Mr. Ringle to tell him a word was capitalized in the web version and not capitalized in the pdf. I also noted that it could be a errata in the web version introduced when adding a hot link.

Administrators are absolutely the most authoritative person to indicate which of multiple versions of a document is most likely to match what was approved. If what was approved is an easily editable document (e.g., .docx), errata can be introduced — people make mistakes.

I assume Geoff’s intent was to highlight (absent a clear indication on the SA web site) which of the two versions available should have precedence if they differ.

In my opinion, Dave would not be able to make that decision, should a decision need to be made.
I don't think that is the case though
I believe that this is a decision of long standing and that Dave is in a position as Standards Board Administrator to know the answer.

Thanks for that. It is strange that they would ask Dave Ringle that, he cannot state that authoritatively.

Hello all,

Please note the following regarding RAC action item 080720RAC03:

Action Item 080720RAC03: Angela to find out which is the authoritative version between the web or .pdf of the SA Ops Man. Angela will follow up with Dave Ringle as previously indicated to Bob that he would fix the inconsistency.

Per Dave, as noted at https://standards.ieee.org/about/policies/sa-opman/index.html <https://standards.ieee.org/about/policies/sa-opman/index.html><https://standards.ieee.org/about/policies/sa-opman/index.html <https://standards.ieee.org/about/policies/sa-opman/index.html>>,
"The (PDF) document on the website is the definitive version."

This action item will be marked complete.

Regards,

Angela
