[802SEC] Mixed Mode ad hoc - July meeting prep/feedback

All –

With the proposals from the vendor, as (long) promised, I have set the next meeting date for the (near-term) mixed mode ad hoc.

The meeting agenda will be focused on the July 2022 meeting plan for remote access.

The meeting is at the usual time for this ad hoc (1-2pm pacific time, Tuesday), and with some advance notice – Tuesday 12 April.

Please allow a little time for the meeting coordinates to get on the 802 calendar.

The basic plan is to follow the guidelines that this group produced, as detailed in https://mentor.ieee.org/802-ec/dcn/21/ec-21-0203-02-00EC-guide-to-practices-for-initial-mixed-mode-ieee-802-lmsc-sessions.docx and further refined in the Exec Secretary’s report:

https://mentor.ieee.org/802-ec/dcn/22/ec-22-0002-03-00EC-executive-secretary-agenda-items-2022-march-plenary.pptx (slides 9 through 11).

It is important to note that the plan is for an in-person meeting experience with remote access, in agreement with ‘guiding principle’ g. “Including remote participation should strive to minimally impact the nature of the face-to-face portion of the meeting.” of the 021-0203 document.

Given the quotes we have, the venue can provide the support in our guidelines and the Exec secretary’s report without material impact on the meeting finances, so it is important to begin planning, building understanding with and getting feedback from those involved int eh meeting.

Please note that this plan is, in alignment with our guidelines, to provide remote access for those who cannot attend due to an undue travel burden.  It is not intended to provide a generic ‘remote attendance’ option. As Glenn stated, things like ‘side huddles’ – where problems are solved - are not intended to be replicated.  The in-person experience, schedule, and activities are intended to be preserved.  As such, it is my personal view that individuals should be encouraged to attend face to face when possible, and that this will help the standards development process, the individual’s ability to influence it, and the logistical and financial basis for the meeting.
