[STDS-802-11] Reminder to have letters of support and affiliation for all candidates for WG chair and Vice chair positions

Dear 802.11 participants,

This is a gentle reminder that candidates for the Chair and Vice Chair positions should complete
and have filed with the 802 Recording Secretary a statement of affiliation and a statement of support
from their employer/sponsor.

On the Monday I will ask each candidate whether they have completed this document.   This is a mandatory
requirement for candidates,  so I will check that this has happened on wednesday before conducting the
ballot.  Anybody who has failed to suppy the necessary documentation will be eliminated from the ballot.

As announced by the IEEE 802 Chair, Paul Nikolich, at the IEEE 802 Nov 2017 Closing Meeting, the 2018 elections will be held at the IEEE 802 March 2018 Plenary.  (For information about the meeting see http://802world.org/plenary/).

Per IEEE 802 LMSC P&P, Section 4.1 (see http://standards.ieee.org/about/sasb/audcom/pnp/LMSC.pdf) – “Any person to be confirmed or elected by the Sponsor shall, prior to confirmation or election by the Sponsor, file with the Recording Secretary a letter of endorsement from their supporting entity.”

WG Chairs, WG Vice Chairs, Appointed Sponsor Officers, and Appointed Sponsor Non-Voting Members are all confirmed by the Sponsor. Any individual who would like to run for one of these positions or anticipates being appointed to one, will be required to submit a letter of endorsement signed by both the Sponsor member  and "an individual who has management responsibility for the Sponsor member"  prior to a confirmation vote. 

 

In addition, per Section 4.5 of the IEEE 802 Chair’s Guidelines (see https://mentor.ieee.org/802-ec/dcn/17/ec-17-0120-25-0PNP-ieee-802-lmsc-chairs-guidelines.pdf)  -

All members of the sponsor that are confirmed or elected, prior to confirmation or election, shall provide a signed letter that states their affiliation.  This requirement may also be met by having an explicit statement of affiliation in the endorsement letter described in the “Voting membership” subclause of the IEEE LMSC Policies and Procedures.  A statement of affiliation should be in the form of “For the purposes of IEEE 802, <potential Sponsor member's name>'s affiliation is <affiliation>.”

As confirmation will take place at the March 2018 closing plenary, I will need the documents prior to the start of the March Closing 2018 Plenary.
