Re: [STDS-802-16-MOBILE] [Handoff] F2F on June 20th, 21st - pleas e indicate if you'll attend

Title: [STDS-802-16-MOBILE] [Handoff] Minutes from conference call on 6/2/04
All,

Not specifically for this meeting, but may I ask for taking in account also interests of 802.16 members located overseas.
I am afraid that absence of such participants at F2F meetings [caused by logistics problems] may imply mutual misunderstanding and harm cooperation spirit in 802.16 WG. There were already such examples in the past. Note that IEEE "Interim" sessions are
conducted to fill the gap between plenary sessions [formally only plenary sessions are representative]

Iyer et al,

That's fine, especially if it is primarily a contribution drafting session; I just don't want anyone to feel left out.

One suggestion regarding drafting the contribution - do not make it one big huge contribution unless you are absolutely sure the entire WG will buy in on it (recall some of Phil's past contributions that we weren't able to get through simply due to their size and complexity).  It tends to work much better if it's broken down into individual digestible sections, especially if some of the sections may be controversial.

Enjoy Hawaii.

Brian - We polled for availability and dates at the last telecon. It turns out that some folks were unable to travel between now and the Portland plenary given budget and other logistical constraints - no matter what dates we picked. So finally what we decided was that the group will via telecons and email converge on all of the technical aspects of HO. The F2F will then focus mostly on drafting text on top of the D3 draft.

We will have a conf room to ourselves for the 2 days - will send out hotel logistics later today after we confirm with the hotel. I will also put in a request for a polycom like phone. The idea of a bridge sounds good - if anyone wants to volunteer to host a bridge let me know.

I was unaware that the adhoc was going to have a F2F in Hawaii and sincerely wish I could attend (any excuse for Hawaii).

However, I am deeply concerned that not all members of the adhoc may be able to attend this meeting and would thereby be excluded from the discussions.  I very strongly recommend that provisions be made for phone conference facilities for those adhoc members who cannot attend.

We are close to finalizing the Waikiki Beach Marriott Resort in Honolulu, Hawaii for the handoff adhoc F2F on June 20th and 21st. The hotel is offering a rate of ~ US $140 per night for a block of 10 rooms. Please reply (to me, not this list) if your organization will be represented and # of participants so I can assemble an approx. head count.

Please respond ASAP - no later than Monday morning, so we can confirm with the hotel. If you have already indicated interest in participating you need not respond to this request.

Regards,

-Prakash
